Appointment Scheduling & Calendar Management
A busy executive's week can fall apart quickly when every meeting is fighting for the same hour. I took over one of those weeks and planned it from Monday to Friday, so they always knew where they needed to be and still had time to think.
What I did
- Planned a full week of reviews, board meetings, investor calls, interviews and a shareholders meeting, spacing them so no two clashed and every day had a clear rhythm.
- Set aside a lunch break at 12pm and a 'Focus Time' block from 12:45 to 1:45pm every day. That hour is for deep work, and I protect it the way I would protect a client meeting.
- Colour coded the calendar by type: blue for reviews and briefings, orange for leadership and team meetings, yellow for investor and stakeholder sessions, purple for focus time. One look at the week tells you what's coming.
- Started the week with a Monday review and closed it with a Friday review, so nothing slipped through and loose ends were tied up before the weekend.
- Set up a public 'Strategy Session' booking page for small business owners. People pick a 60-minute slot that suits them, a Google Meet link is added automatically, and nobody has to go back and forth over email.
Result
- A full week with zero double bookings
- A protected hour of focus every single day
- Clients book themselves in without any back-and-forth emails
